Responsibilities
The general duties will include but not limited to:
- Manage the President’s calendar, schedule meetings and appointments, and ensure that all commitments are met
- Anticipate the President’s needs and proactively prepare materials and information for meetings
- Communicate effectively with internal and external stakeholders, including executives, entrepreneurs, partners, vendors, and employees
- Prepare and review reports, presentations, and documents, conducting research and analysis on various topics
- Attend meetings on behalf of the President and provide detailed notes and follow-up action items
- Handle confidential information with discretion and maintain the highest level of integrity
- Plan and coordinate domestic and international travel arrangements, managing all logistics for the President, ensuring the most efficient use of his time and expense
- Act as the primary point of contact for the President, screening and prioritizing emails, phone calls, and messages. Skillfully identifying which matters require the President’s attention and handling those that can be addressed independently, ensuring timely, professional responses and seamless communication flow.
- Manage special projects and initiatives on behalf of the President.
Qualifications
- Bachelor’s degree in business administration, management or related field (advanced degree preferred)
- 10 years of experience as an Executive Assistant supporting a C-level executive or as Chief of Staff at a startup, with exceptional confidentiality, discretion, integrity, and professionalism
- Proven ability to thrive in a fast-paced, always-on environment with a startup mindset
- Masterful touch-typing speed and high proficiency with Microsoft Office and other relevant tools with high enthusiasm for adopting new tools such as Generative AI to improve efficiency
- Excellent ability to perceive the President’s needs, take initiative to proactively prepare and assertively perform a variety of tasks, with a professionalism
- Superb organizational, project management and problem solving skills with a keen eye for detail
- Flawless event coordination, especially for high-profile, small to mid-size events, flare for unique and special touches for memorable engagements
- Dedicated, reliable, and flexible with an exceptional EQ, superior work ethic, accountability, team mentality and uncompromising personal integrity
- Excellent written and verbal communication skills in the English language (proficiency in a second language such as Japanese highly preferred)
- Ability to daily work in-person at the San Jose office especially whenever the President is in
Compensation
This position is based in San Jose, CA and the base annual salary/pay range for this role is between USD $130,000 and $170,000. The actual base pay is dependent upon many factors, such as: education, training, transferable skills, work experience, business needs, work location, market demands, etc. The base salary range is subject to change and may be modified at the Companies discretion. The role may also be eligible for variable bonus programs and benefits.
