Executive Assistant

We are looking for an Executive Assistant to join our team. This is an exciting opportunity to work with a top-tier Corporate Venture Capital fund in Silicon Valley. The Executive Assistant reports to the President and is responsible for providing administrative and office management support to the President of TDK Ventures and the wider worldwide team. This high impact role involves liaising with entrepreneurs and partners, scheduling, domestic and international travel, expense reporting, and special projects like events organization as required.

Responsibilities

The general duties will include but not limited to:

  • Drive tracking and timely completion of projects and tasks assigned by the President
  • Coordinate in-person meetings involving external parties on global basis; confirming attendance; resolving any conflicts; provide general support to visitors; booking conference rooms, restaurants or other venues, exemplifying TDK Ventures core values in all communications and interactions, rigorously documented on Monday.com
  • Drive professional and white-glove coordination of attendees and speakers for our thought-leadership, networking, speaking and social events
  • Take detailed meeting notes and rigorously follow-up on actions items of internal team meetings
  • Organize and ensure flawless execution of team activities
  • Pro-actively conduct effective training on our tools to maximize effectiveness of the team, and drive resolution with IT whenever needed
  • Supervise travel arrangements for the team and drive the more complex travel arrangements, like team-wide Reflection Week annual events
  • Keep accurate records of travel, manage invoices and expense reports regularly
  • Manage office supplies, business cards, business meals, office snacks and refrigerated beverages, ensuring office is exceptionally tidy, orderly and efficiently presentable for staff and guests
  • Serve as point of contact for external suppliers/vendors

Qualifications

  • 10+ years of senior level administrative experience, directly supporting senior leaders
  • Bachelor’s degree preferred or an equivalent combination of education and experience
  • Expert knowledge of software such as MS Office suite and systems and tools for calendaring, scheduling, travel arrangements, expense reporting, data collection and reporting such as: Word, Excel, PowerPoint, Outlook, Monday.com, Zoom, Calendly etc.
  • Demonstrated ability to take ownership, work independently and to manage and handle multiple tasks of an urgent nature, while ensuring a professional level of tact and diplomacy
  • Meticulously organized with a capacity for planning out tasks and activities, excellent time management skills, and the ability to multi-task and prioritize work
  • Ability to listen to, notate and carry out detailed written or verbal instructions effectively
  • Attentive to requests, responsive in a timely, effective, and efficient manner
  • Capable of performing a variety of assignments assertively, with a professional demeanor; strong attention to detail and problem-solving skills
  • Dedicated, reliable, and flexible with an exceptional EQ, superior work ethic, accountability, team mentality and uncompromising personal integrity
  • Excellent written and verbal communication skills in the English language
  • Ability to work regularly in the San Jose office and remotely as needed
