Executive Assistant

This is an exciting opportunity to work with a top-tier Corporate Venture Capital fund in Silicon Valley. As the Executive Assistant to the President, you will be responsible for providing high-level administrative support to the President. Your main duty will be to save the President’s time by driving complex routine tasks on his behalf, allowing him to focus on more strategic and impactful work. You will act as the President’s gatekeeper, ensuring that he is well-prepared and well-informed for all meetings and events. You must be able to work effectively under pressure, be responsive and have a can-do attitude. This high-impact role involves liaising with entrepreneurs and partners, scheduling, domestic and international travel, expense reporting, and special projects like events organization as required.

Responsibilities

The general duties will include but not be limited to:

  • Manage the President’s calendar, schedule meetings and appointments, and ensure that all commitments are met
  • Anticipate the President’s needs and proactively prepare materials and information for meetings
  • Communicate effectively with internal and external stakeholders, including executives, clients, vendors, and employees
  • Prepare and review reports, presentations, and other documents as required
  • Conduct research and analysis on various topics as needed
  • Attend meetings on behalf of the President and provide follow-up action items.
  • Handle confidential information with discretion and maintain the highest level of integrity.
  • Organize and coordinate travel arrangements and logistics for the President.
  • Act as the primary point of contact for the President, screening and prioritizing emails and phone calls.
  • Manage special projects and initiatives on behalf of the President.

Qualifications

  • Bachelor’s degree in business administration, management or a related field
  • At least 5 years of experience as an Executive Assistant, preferably supporting a C-level executive
  • Excellent communication and interpersonal skills
  • Strong organizational and project management skills
  • Ability to work independently and take initiative
  • Proven ability to handle confidential information with discretion
  • A high degree of proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Capable of performing a variety of assignments assertively, with a professional demeanor; strong attention to detail and problem-solving skills
  • Dedicated, reliable, and flexible with an exceptional EQ, superior work ethic, accountability, team mentality and uncompromising personal integrity
  • Excellent written and verbal communication skills in the English language
  • Ability to work regularly in the San Jose office and remotely as needed
