TDK Ventures is seeking an awesome administrative assistant to support our global team from our Boston office. This is an exceptional opportunity to work with an industry recognized, top-tier Corporate Venture Capital fund.

Responsibilities

The Team Assistant is responsible for providing general administrative and office management support to the TDK Ventures team. In order of importance the general duties will include but are not limited to:

  • Scheduling complex meetings with varying time zone and geography complexities
  • Scheduling complex travel arrangements especially when not as simple as contacting a travel agent
  • Boston office management, assist with varying administrative tasks such as handling mail and deliveries, basic tidying of the office, ensuring cleaning and facilities services are performing adequately, and assisting with other minor administrative functions
  • Assist with event management, supporting the planning and organization of office events, meetings, and conferences. Assist with logistics, including venue bookings, catering arrangements, and materials preparation as needed
  • Greet and support internal and external guests as needed, ensure guests have an exceptional experience while visiting the office through professional and courteous support
  • Monitor office supplies inventory and place orders as necessary. Maintain appropriate stock levels and ensure a well-equipped and organized office environment
  • Assist with the finance team to ensure accurate and timely financial record-keeping
  • Carry out any other administrative tasks or special projects assigned by the HR Principal, demonstrating flexibility and a willingness to contribute to the overall success of the office
  • Serve as point of contact for property management, facilities, suppliers, vendors, etc.

Qualifications

The successful candidate for this position must be able to perform each essential function satisfactorily with or without reasonable accommodation. The qualifications and working conditions listed below are representative of those required for the position.

  • 8-10 years of office administrative experience in an international context
  • AA or equivalent combination of education and experience
  • Expertise in Microsoft Office suite and systems such as: Word, Excel, PowerPoint, Outlook, Monday.com, Zoom, Calendly etc.
  • Highly competent scheduling guru. An ability to navigate complex calendaring situations with grace and poise for a large team across 5 offices (San Jose, Boston, London, Bangalore & Tokyo)
  • Highly dependable, reliable and punctual, ability to handle multiple tasks of an urgent nature, while ensuring a professional level of tact and diplomacy
  • Attentive to requests, responsive in a timely, effective, and efficient manner
  • Dedicated, reliable, and flexible with an exceptional EQ, superior work ethic, accountability, team mentality and uncompromising personal integrity
  • Excellent written and verbal communication skills in the English language
  • Ability to work regularly in the Boston office and remotely as needed

Compensation

This position is based in Boston, MA and the starting annualized base pay for this role is between USD $83,200 and $114,400. The actual base pay is dependent upon many factors, such as: education, training, transferable skills, work experience, business needs, geography, market demands, etc. The base pay range is subject to change and may be modified at the Companies discretion. The role may also be eligible for variable bonus programs and benefits.
